Answer / Plan capacity and budget

Why can towing ad spend rise before cash collection catches up?

Marketing outflows and customer collections can occur in different periods. Track the timing explicitly rather than assuming billed jobs fund today’s spending.

Set the operating assumptions

Record actual marketing payment dates, known customer receipts and other planning outflows relevant to the review. Keep expected collections separate from received money. State the period and whether the worksheet is a simple cash-movement view rather than a formal accounting statement.

A worked example

Fictional two-week example: week one has $500 in marketing outflows and $200 in customer receipts, a net movement of −$300 for those items. Week two has $300 outflows and $900 receipts, a net +$600. Together the selected items total +$300, but that later balance does not eliminate the earlier timing gap or include all business expenses.

Set a decision boundary

Use a dated worksheet to show the low points under conservative collection assumptions. Review actual payment terms and unresolved receivables with the responsible person. Keep overhead, payroll, taxes and borrowing questions within the business’s broader financial planning and qualified advice. Do not label a partial marketing worksheet as available cash for every obligation.

Check whether it worked

Replace estimates with actual dates and amounts as evidence arrives, preserving the original planning version. Investigate why a receipt moved rather than silently shifting it into the expected week. If timing repeatedly causes pressure, review spending commitments and collection processes with the owner and appropriate financial professional.
