Start with the evidence
Record requested services, locations, volume evidence, required availability, authorized contacts, acceptance process, documentation and payment workflow. Separate confirmed requirements from sales estimates. Ask the operator to assess capability and the appropriate reviewer to assess the actual agreement.
A worked example
Fictional prospect: a repair shop expects scheduled transport during weekday hours and provides one authorized contact. Another asks for immediate availability across a large region with no reliable request forecast. The same headline monthly volume would not make those relationships equivalent; staffing, travel, communication and uncertainty differ materially.
Choose the next action
Prepare an owner review sheet showing fit, exceptions, costs and unresolved terms. Confirm how requests are accepted and how changed scope is approved. Avoid promising dedicated capacity that has not been approved. The worksheet supports a business conversation; it is not a substitute for reviewing liability, payment or other contractual obligations.
Check whether it worked
If the relationship proceeds, compare actual requests, accepted work, collection and administrative effort with the initial assumptions. Record changes in scope or expectations. Revisit the arrangement when the real workload differs. Do not count a verbal expression of interest as contracted revenue or a completed customer relationship.
