Start with the evidence
Record the requested service, pickup and destination context, vehicle information relevant to assessment, requested timing and known access uncertainties. Ask the operator which facts materially affect acceptance and scope. Keep physical capability and specialist recovery decisions with that qualified person rather than inferring them from a generic form.
A worked example
Fictional request: the office knows the pickup area and vehicle description but the destination is still undecided. An amount communicated as final could be misunderstood if the later destination changes the work. The record should state “destination pending; quote scope not confirmed,” along with who will obtain the missing information.
Choose the next action
Use a visible status for incomplete, under review, communicated and accepted. Before confirming a quote, have the authorized person check the relevant facts and any required disclosures or contractual constraints. Repeat the agreed scope in plain language and record its version. Do not treat a preliminary conversation as a binding universal price rule.
Check whether it worked
Review invoice differences and customer questions for recurring missing fields. Add a field only when it supports a real decision. Preserve the original quoted facts when scope changes rather than overwriting them. If the same uncertainty repeatedly prevents a quote, improve intake or clarify which requests require operator assessment.
