Set the operating assumptions
Record staffed answering periods, declared service availability, existing commitments and known constraints. Keep estimates labeled and have the operator review them. Truck count alone does not establish how many additional jobs can be accepted; duration, distance, service mix and uncertainty matter.
A worked example
Fictional planning week: weekday mornings have some available capacity, afternoons are committed to scheduled work and overnight service is unavailable. A campaign promising immediate service all week conflicts with that plan. The useful marketing decision may be to clarify availability and evaluate demand in the open periods, not simply raise the total budget.
Decision reference
| Situation | Decision | Review trigger |
|---|---|---|
| Suitable calls; no spare capacity | Resolve coverage before adding spend | Available dispatch capacity |
| Few suitable inquiries | Inspect intent and coverage | Reviewed query/inquiry sample |
| Job and collection evidence missing | Improve records before scaling | Known completed-job contribution |
Set a decision boundary
Create a capacity review with actual declined requests and their timing. Distinguish service mismatch from temporary unavailability. If considering added coverage, model its cost and a range of additional-completion assumptions. Do not interpret the model as automated dispatch or a guaranteed utilization target.
Check whether it worked
Review accepted, declined and unresolved requests after any change, using the same definitions. Compare actual workload with the declared plan and note unexpected downtime. If inquiries remain suitable but cannot be accepted, resolve the operating constraint before calling the campaign ineffective. If capacity is available but inquiries are unsuitable, return to source and message fit.
