Answer / Answer and quote

What should the office capture in a towing inquiry?

Capture enough administrative context for the right person to assess the request. The intake record organizes information; a qualified operator decides capability and physical safety.

Review the actual conversation

Use a stable inquiry ID and record the time, requested service, pickup context, intended destination, contact preference and any uncertainty. Ask only for information needed for the next decision. Keep sensitive customer details in the approved job system, not a public worksheet or analytics event. Distinguish what the caller said from what the operator confirmed.

A worked example

Fictional record: I-204 requests vehicle transport from a repair shop to a residence. The office has a general pickup area but not the exact access arrangement. The note should say “access not confirmed; operator review required,” not “standard easy tow.” The latter turns missing information into an operational conclusion the office has not established.

Choose the next action

Summarize the request back in ordinary language and identify who will assess it. Record availability as confirmed, unavailable or awaiting review. If a handoff is needed, send the administrative facts through the authorized internal process with a named owner. Do not give physical recovery instructions from this checklist or promise equipment suitability before operator confirmation.

Check whether it worked

At the end of the shift, review incomplete inquiries for missing information, next action and ownership. Check whether later corrections trace back to a specific intake gap. Improve that field or question rather than adding every possible detail to the form. A completed intake record is not a booking until the business and customer have actually agreed to the relevant next step.
