Review the actual conversation
Capture the requested timing, service fit, coverage fit and operator-confirmed availability at the decision time. Note whether the company declined, offered a later option or left the request unresolved. Do not invent a partner, arrival estimate or alternative provider to fill a gap in the conversation.
A worked example
Fictional week: ten suitable inquiries include four that cannot be accepted during the requested window. Three customers choose another provider and one accepts a later arrangement. Calling all four “bad leads” would hide a capacity constraint; calling all four “lost jobs” would ignore the accepted later arrangement and its still-unconfirmed completion.
Choose the next action
Use direct administrative wording: “We cannot confirm availability for that request at the moment.” If the operator approves a later option, explain its limits and record the customer’s response. Any referral should follow a real, authorized relationship and accurate facts. Keep the decision with the business rather than letting an advertising target overrule operational feasibility.
Check whether it worked
Review declines by time and supported service, using unique inquiries. Compare recurring patterns with planned coverage and advertising hours. Additional capacity has costs and uncertainty; do not assume every declined request would become paid work if another truck existed. If there is capacity but customers still do not book, investigate quote and expectation clarity.
